Shift Templates

Creating schedules for employees with the same shift gets repetitive. Shift templates let admins define reusable presets with start time, end time, break duration, and off days. Set them up once, then reuse them whenever you create or edit a schedule.

When creating a new schedule, pick a template from the dropdown and the form fills in automatically. You can still adjust the values before saving if a particular employee needs a slight variation. Templates are managed from their own page in the sidebar.

Track Payroll Payments Clearly

You can now mark payroll entries as paid and see payment status at a glance. When you pay an entire payroll period, each employee entry updates automatically so you don't have to reconcile payments by hand.

Faster Portal Sign-In with PINs

Employees can sign in to the portal using the PIN they already know, without waiting for magic links. Admins get a warning if two employees share a PIN, helping you keep access unique and secure.

Bulk Cleanup for Fixed Deductions

Need to remove recurring deductions for multiple employees at once? You can now bulk delete fixed deductions in one step, saving time during payroll cleanup.

Mobile Clock-In

Employees can now clock in and out directly from their phones through the employee portal. No more waiting in line at the kiosk — just open the portal, tap Clock In, and you're done.

The feature uses the same face verification as the kiosk when required. GPS coordinates are captured for each action, so admins can see where employees clocked from. Time entries show whether they came from the kiosk or mobile.

Enable mobile clock-in in Account Settings, then toggle it on for individual employees who need it.

Excused Late & Undertime

Sometimes employees are late for valid reasons — doctor's appointments, emergencies, or prior approval. Supervisors can now mark late or undertime as excused directly from the time entry detail panel.

When marked as excused, payroll deductions are zeroed out while the actual minutes are preserved for attendance records. You keep the audit trail without penalizing the employee.

Time Entry Detail Improvements

Reviewing attendance just got easier. The time entry detail panel now shows the employee's expected schedule for that day, so you can quickly compare actual clock times against what was planned. A new "View Schedule" link takes you directly to the employee's full schedule calendar.

Late Deduction Column

The payroll entries table now includes a dedicated late deduction column. See at a glance how much each employee lost to tardiness during the pay period.

Employee Names as "Last, First"

Employee names now display in "Last, First" format throughout the app, matching how the time entries list is sorted. This makes it easier to scan alphabetically and find who you're looking for.

Fixed Deductions Management

A new Fixed Deductions page in the sidebar lets you view and manage all recurring employee deductions in one place. See each deduction's name, employee, and amount per cutoff. Add new deductions or edit existing ones without navigating to individual employee profiles.

Overtime Unapproval

Approved overtime by mistake? Admins can now unapprove overtime directly from the time entry detail panel. The overtime hours revert to pending status, ready for re-review.

Bulk Recalculate Attendance

The time entries page now has a Recalculate button that recomputes attendance metrics for all filtered entries at once. Apply your date range and employee filters, then recalculate late, undertime, overtime, and overbreak for the entire set in one click.

Ignore Short Breaks for Overtime

Employees are allotted break time — if they take a shorter break than scheduled, that's their choice. But previously, unused break time could inflate overtime calculations.

A new payroll setting prevents this. When enabled, employees who cut their breaks short won't accumulate extra overtime from the unused break minutes. Break time is for resting, not padding hours.

Fixed Deductions

Many employees have recurring deductions beyond government contributions — SSS loans, company savings programs, insurance premiums, or union dues. You can now add these as fixed deductions on each employee's profile.

Set the monthly amount once, and it's automatically split across semi-monthly pay periods. Fixed deductions appear as line items on payslips, so employees see exactly what's being withheld.

Fixed Contribution Overrides

Sometimes bracket-based contribution tables don't tell the whole story. Employees with multiple employers, voluntary contribution increases, or special arrangements often need exact amounts.

You can now override SSS, PhilHealth, or Pag-IBIG calculations with fixed monthly amounts per employee. Leave the fields blank to use standard contribution tables — override only what you need.

Recalculate Attendance Metrics

Set up a schedule after employees already clocked in? A new Recalculate button on time entries lets admins recompute late, undertime, overtime, and overbreak based on the current schedule. No need to manually edit each entry.

  • Unworked holiday pay now correctly includes rest days — employees receive 100% daily rate for regular holidays even when the holiday falls on their scheduled off day

Individual Government Deduction Controls

Each employee can now have SSS, PhilHealth, Pag-IBIG, and withholding tax toggled individually. Useful for consultants or contractors who handle their own contributions.

Payroll Configuration

  • Custom late rate — set a fixed rate per minute for late deductions instead of using the hourly rate
  • Overtime multiplier toggle — turn off the 1.25x multiplier if you pay overtime at the regular rate

Improved Payroll Entries Table

The payroll period view now shows more detail at a glance: days worked, daily rate, overtime, undertime, additions, deductions, benefits, tax, and net pay in a single table.

Overnight Shift Support

Schedules can now cross midnight. Create shifts like 10 PM to 7 AM and everything just works — clock in/out, breaks, overtime, and pay calculations all handle the day boundary correctly.

Previously, overnight workers would get "already clocked in" errors when starting their next shift. Now the system properly tracks entries across days, so your security guards, production staff, and call center agents can clock in and out without issues.

Night Shift Differential

Employees working between 10pm and 6am now receive an automatic 10% premium on their hourly rate, as required by Philippine Labor Code Article 86. The premium compounds with holiday and rest day multipliers — so a night shift on a regular holiday gets both the 200% holiday rate and the 10% NSD on top.

You can disable NSD per employee in their profile if needed (e.g., for managers on fixed salaries).

Offline Kiosk Mode

The kiosk now works even when your internet goes down. Employee data is cached locally, so PIN entry and clock in/out continue to function offline. Actions are queued and automatically sync when connectivity returns.

A status indicator shows whether the kiosk is online, offline, or has pending actions to sync.

Leave Management

No more Viber messages for time off. Employees now submit leave requests directly from the portal, and admins review them with one-click approvals.

For Employees

  • Submit leave requests for vacation, sick leave, personal time, or bereavement
  • See available leave balance before submitting
  • Track request status — pending, approved, or declined
  • Cancel pending requests if plans change

For Admins

  • Review all requests with filtering by status and employee
  • Approve or decline with optional notes
  • Automatic balance deduction when approved
  • Built-in overlap detection prevents double-booking
  • Full audit trail tracks who reviewed, when, and why

Schedule Audit Log

Admins now have visibility into all schedule changes. A new Audit Log in the sidebar shows who created, updated, or deleted schedules — with timestamps and role indicators (Admin, Supervisor, Member).

Filter by employee, user, event type, or date range to quickly find what you're looking for.

Employee Portal: Payslips & Time Entries

The employee portal now includes two new sections:

  • Payslips — Employees can view their pay history and download individual payslips
  • Time Entries — See clock in/out times, breaks, and attendance for any pay period

Navigation between Schedule, Time Entries, and Payslips uses a clean pill-style menu. Time entries default to the current pay period for quick access.

Holidays in Calendar

Philippine holidays now appear in all calendar views — month, week, and day. Quickly see when holidays fall relative to employee schedules without switching between screens.

Employee Portal

Employees can now view their own schedules without needing admin access. Share a unique portal link with your team so they can check their upcoming shifts anytime.

How it works:

  • Add an email address to each employee's profile
  • Share your company's portal link (found in Account Settings)
  • Employees enter their email and receive a magic link to log in
  • They can browse their weekly schedule with easy navigation

No passwords to remember — just a secure link sent to their inbox.

Supervisor Permissions for Time Entry Completion

Admins can now control whether supervisors are allowed to complete incomplete time entries during payroll generation.

Head to Account Settings to toggle this permission. When disabled, only admins can complete time entries that are blocking payroll. The setting is enabled by default, maintaining the existing behavior.

Support Tickets

Need help or have a question? You can now submit support tickets directly from the app.

Click "Support" in the sidebar to create a new ticket. Describe your issue and submit - you'll be able to track all your tickets and their status (open or closed) from the same page.

Admins get a dedicated view to manage tickets across all accounts, with the ability to close resolved issues and reopen them if needed.

Incomplete Time Entries Detection

Generating payroll now catches incomplete time entries before they cause problems.

When you generate a payroll period, the system checks for employees with missing clock-outs or other incomplete entries. Instead of calculating partial or incorrect pay, you'll see a list of entries that need attention with a quick way to complete them right from the payroll screen.

Fix the entries, then continue generating payroll with accurate data.

Employee Filtering

Finding the right employee just got faster. The employee list now has real-time filtering by name and position.

Start typing in the name field and results filter automatically after 300ms - no need to click search. Combine it with the position dropdown to narrow down even further. A clear link resets everything when you're done.

Works alongside the existing archived employees toggle, so you can filter across active or all employees as needed.

Per-Employee Holiday Pay Control

Not everyone gets holiday pay. Consultants, contractors, and some part-time arrangements often negotiate flat rates without premium multipliers. Now you can configure this per employee.

A new "Holiday Pay" toggle in employee settings lets you disable holiday premiums for specific workers. When turned off:

  • Regular holidays pay at 1x instead of 2x
  • Special holidays pay at 1x instead of 1.3x
  • Unworked regular holiday pay is skipped entirely

All existing employees keep holiday pay enabled by default. Nothing changes unless you explicitly turn it off.

Rest Day + Holiday Pay

When a holiday lands on an employee's scheduled rest day, the law mandates higher premium pay. Timekeep now handles this automatically:

  • Regular holidays on rest days: 260% of daily rate
  • Special non-working days on rest days: 150% of daily rate

The system detects rest days from each employee's assigned schedule. No manual tagging, no spreadsheet formulas. Whether it's Christmas falling on a Sunday or Rizal Day landing on someone's off day, the math is done for you.

Time Entries by Position

Managing a mixed workforce? The Time Entries page now includes a position filter, making it simple to:

  • Review attendance for specific roles (cashiers, warehouse staff, drivers)
  • Spot patterns in tardiness or overtime by department
  • Generate cleaner reports when reconciling hours by job function

Holiday Pay

Employees working on Philippine holidays now receive the correct premium pay:

  • Regular holidays (New Year's Day, Independence Day, Christmas, etc.) — 200% of daily rate
  • Special non-working days (Chinese New Year, All Saints' Day, etc.) — 130% of daily rate

Holiday pay is automatically calculated for both daily-rate and fixed-salary employees, and appears as a separate line item on payslips.
